How we handle information submitted through our website, applications, and portals.

1. Scope and Operator

This Privacy Policy applies to homesweethomeapartments.com and the applicant, tenant, administrator, and leasing-partner workflows operated by Home Sweet Home Apartments. It does not replace the privacy terms of a signed lease, property owner, screening provider, payment provider, or other third party.

2. Information We Collect

  • Identity and contact data: name, email, phone number, account credentials, and property or unit details.
  • Application data: desired property and rental option, move-in timing, employment status, income information, household size, pet information, messages, and application status.
  • Application documents: government-issued identification, proof of income, references, and other documents you choose or are asked to upload.
  • Service and partnership data: tour requests, flexible-stay requests, maintenance details, permission-to-enter choices, property information, and leasing-partner inquiries.
  • Portal and payment records: account role and approval status, messages, Zelle confirmation details, payment dates, memos, reference numbers, optional proof screenshots, and administrative verification status.
  • Technical data: essential session cookies and information ordinarily processed by web servers and hosting systems, such as IP address, browser type, timestamps, request paths, and security logs.

Please do not place Social Security numbers, full bank or card numbers, passwords, medical records, or unrelated sensitive information in free-text fields or uploads unless management specifically provides an approved secure process for that information.

3. How We Use Information

We use personal information to:

  • receive, save, review, verify, and decide rental applications;
  • create accounts, enforce approval-based portal access, and provide password resets;
  • send application, approval, account, payment, and service communications;
  • schedule tours, respond to inquiries, coordinate maintenance, and evaluate partnerships;
  • provide payment instructions and verify payment confirmations;
  • protect the website, prevent fraud and abuse, troubleshoot errors, and comply with legal obligations; and
  • maintain business, housing, accounting, and dispute records.

4. Applications and Screening

Authorized administrators can review submitted application data and documents. We may verify information with references, employers, property owners or managers, and screening providers when permitted and appropriate. 5. Payments

Card payments, when offered, are completed on Stripe-hosted pages. Zelle transfers occur through Zelle or your financial institution. We do not intend to collect or store full payment-card or online-banking credentials on this website. We may retain payment status, amount, purpose, date, memo, reference information, optional confirmation evidence, and administrative notes needed to verify and account for a payment. Stripe, Zelle, and participating financial institutions process information under their own terms and privacy notices.

6. When We Disclose Information

We may disclose information only as reasonably necessary to:

  • authorized staff, property owners or managers, and housing decision-makers;
  • hosting, database, email, security, document-processing, and other service providers supporting the website;
  • references, screening providers, inspectors, or maintenance contractors involved in the requested service;
  • payment providers and financial institutions selected by the user;
  • professional advisers, insurers, auditors, or transaction parties subject to appropriate obligations; or
  • courts, regulators, law enforcement, or other parties when required by law or necessary to protect rights and safety.

We do not sell personal information or use it for cross-context behavioral advertising.

7. Cookies and Browser Storage

We use an essential, HTTP-only session cookie to keep authenticated accounts signed in and protect access to private portals. This cookie is necessary for account security and cannot be disabled through the cookie notice. Depending on the sign-in choice, it expires after the active session period or the selected remembered-login period.

We also use local browser storage to remember that you dismissed the cookie notice and to support recent-page navigation. This information remains in your browser unless you clear it. We do not currently use advertising cookies, analytics cookies, or cross-site behavioral tracking.

You can clear cookies and local storage through your browser settings, but doing so may sign you out, reset the cookie notice, or clear recent-page shortcuts. External links, including Stripe and Zelle, take you to services we do not control and that may use their own cookies. Review their privacy and security information before submitting data or payment details.

8. Security

We use administrative, technical, and physical safeguards designed for the sensitivity of the information handled. Measures include role-based portal restrictions, approval gates, signed session cookies, restricted document access, private document storage, transport security, and limited administrative access. No online system can guarantee absolute security. Please report suspected unauthorized account or data access promptly.

9. Retention and Disposal

We retain records for only as long as reasonably needed for application review, account and service administration, active housing or partnership relationships, payment and accounting needs, fraud prevention, disputes, and legal obligations. Retention depends on record type, status, and applicable requirements. Draft access links and account-reset links expire, but link expiration does not necessarily mean the underlying business record is immediately deleted. When records are no longer needed, we take reasonable steps to delete, de-identify, or securely archive them.

10. Your Choices and Requests

You may ask to access, correct, or delete personal information associated with you, or ask questions about how it was used. We may need to verify your identity and may retain information when required for housing, accounting, fraud-prevention, legal, or dispute purposes. You may also opt out of nonessential promotional email, while operational messages about applications, accounts, payments, and services may still be sent.

Send requests to info@homesweethomeapartments.com with the subject “Privacy Request.” Include enough information to locate the relevant record, but do not email identity documents or passwords unless requested through a secure method.

11. Children

Website accounts and rental applications are intended for adults who can enter housing or business arrangements. The site is not directed to children under 13, and children should not create accounts or submit information through public forms.

12. Changes and Contact

We may update this policy as the website, vendors, or legal requirements change. The updated date below identifies the current version. Questions, security concerns, and privacy requests can be sent to info@homesweethomeapartments.com or submitted through the contact form.
